This notice explains how Pit Stop Homes Management Sdn Bhd processes personal data in connection with the website enquiry flows described below. It is issued by the company and does not represent a legal certification.
1. Who we are
Pit Stop Homes Management Sdn Bhd is the organisation responsible for deciding why and how personal data under its control is processed for the website activities described in this notice (the data controller).

2. Personal data we process and its source
The General Contact form asks for:
- full name, email address and phone number;
- enquiry type; and
- a free-text message.
The Property Owner form asks for:
- owner name, phone number and email address;
- property or condominium name, location and property type;
- number of bedrooms and furnishing status;
- expected monthly rent and available date; and
- property condition or notes.
Website enquiry information is generally obtained directly from the person completing the form, or from a person providing information in connection with a company or property enquiry. Free-text fields may contain other information that the person chooses to provide.
3. Why we process personal data
We may use submitted personal data to:
- identify and respond to the person making the enquiry;
- understand accommodation, corporate/staff housing or support requirements;
- discuss student or professional accommodation, viewings, booking, move-in, maintenance or relevant follow-up;
- review an offered residential property's suitability, readiness and proposed commercial terms;
- discuss possible direct lease, owner onboarding, documentation or handover coordination;
- administer the relevant enquiry or relationship and keep reasonable records; and
- address disputes, security matters or legal obligations where applicable.
4. Required and voluntary information
You do not have to submit a website enquiry. If you choose to use one of the forms, every field currently marked as required must be completed for that form workflow. Without the required information, the website may not be able to prepare the enquiry for WhatsApp. You may instead contact us by phone or email.
5. How the WhatsApp handoff works
- You enter information into the website form.
- The information remains in browser state while you complete the form.
- The website does not submit those form fields to a website form backend defined in the current application code.
- When you choose Continue in WhatsApp, the website assembles the entered fields into a message.
- The message is encoded into a WhatsApp
wa.meURL. - The browser opens WhatsApp with a prefilled message.
- You must still press Send in WhatsApp before the message is delivered to Pit Stop Homes.
Opening the WhatsApp URL is an outbound request to the WhatsApp service containing the encoded message. This happens before you decide whether to press Send and deliver the message to Pit Stop Homes. WhatsApp is a third-party service, and Pit Stop Homes does not control WhatsApp's independent processing. You should review the service provider's own privacy information.
6. Third-party website functions
Certain website functions rely on third-party services. When you load or use those functions, the relevant provider may process information according to its own terms and privacy practices:
- WhatsApp: form content is included in the outbound URL when you choose a form's WhatsApp handoff; fixed-message WhatsApp links do not include form fields.
- Google Fonts: Inter and Montserrat font resources load with the website; the repository does not show form fields being sent through this function.
- Google Maps: a lazy-loaded iframe displays the office location; the repository does not show form fields being submitted through the map.
- Facebook: outbound links lead to community pages; the repository does not show form fields being sent through those links.
- Cloudflare: provides website hosting and delivery through Cloudflare Workers; the current application code does not implement a website form backend.
7. When information may be disclosed
Personal data may be disclosed where reasonably necessary for the relevant purpose to technology or hosting providers, communication platforms selected in the enquiry flow, operational service providers involved in the requested accommodation or property process, professional advisers where genuinely required, or government, regulatory or enforcement bodies where disclosure is required or permitted by applicable law. This does not mean that every enquiry is disclosed to every listed category.
8. Retention
Personal data will be kept only for as long as reasonably required for the purpose for which it was collected and for relevant operational, record-keeping, dispute-resolution or legal needs. When information is no longer reasonably required, Pit Stop Homes may delete, anonymise or otherwise dispose of it in accordance with its applicable practices.
9. Access, correction and privacy enquiries
You may contact us to ask about access to or correction of your personal data, how it is processed, a request to limit or stop particular processing where applicable, or a privacy complaint. Requests are subject to applicable law and reasonable verification.

10. Direct marketing and your choices
Personal data submitted through these website enquiry flows is primarily used for that enquiry and related communications. Submitting a form does not automatically enrol you in marketing. If Pit Stop Homes introduces a separate direct-marketing use, appropriate notice and available choices should be provided where required. You may choose not to submit a form, stop before opening WhatsApp, decide not to press Send, use phone or email instead, or contact us about limiting particular processing where applicable.
11. Sensitive information and people under 18
The public forms do not intentionally request identity documents, health information or other sensitive personal information. Please do not include unnecessary sensitive personal information in free-text enquiry fields. If the person submitting information is under 18, they should involve a parent or legal guardian when providing personal information or making accommodation arrangements.
12. Security
Pit Stop Homes takes reasonable practical steps to protect personal data under its control, while recognising that no internet or communications system can be guaranteed completely secure.
13. Processing outside Malaysia
Some third-party internet, hosting and communications services used in connection with the website or communications may process information outside Malaysia. Where applicable, Pit Stop Homes will handle such processing in accordance with applicable data-protection requirements. This notice does not claim that all data remains in Malaysia or identify processing countries that have not been verified.
14. Changes to this notice
We may update this notice when the website's forms, data flows, service providers, purposes or relevant requirements materially change. The current effective date will be shown at the top of this page.
